- You receive an email " Indicate my availability ".You propose two time slots on the page /finalexam/.
- The administration confirms the date, time (Libreville time), the session link, and the examiner by email. This confirmation serves as a summons.

- Your certificate remains locked until the administration has validated the exam.
4. Lesson activities: practice, one attempt only
- Each lesson includes three mandatory activities : key points, real-world scenarios and evaluation of 20 questions. All three open the next lesson.
- These activities are forpractice. For a certificate, the official score is that of the final exam via video (part 3).One attempt only
- : a completed activity cannot be redone. The first score is retained , even in case of a resubmission.correction is displayed immediately
- The after each activity. Only the administration can authorize a new attempt (for example, after a failure). It indicates a reason, and its decision is recorded with its author and date.
- 5. Diplomas: scheduling of exams
For diplomas (Professional License, Bachelor, Professional Master, MSc, MBA), your explanation sessions, your monitored assignments, and, if applicable, your defense are scheduled by the administration.
- They appear in the
- calendar of your student space calendrier de votre espace étudiant /account (Libreville time), with the session link.
- The thesis, when required, is prepared with a supervisor and then defended before a jury on UMeet.
6. Notification and preparation
- Notification : the confirmation email for the exam, followed by a reminder sent 24 hours before. They indicate the date, time (Libreville time), and the session link.
- Contact in case of incident : the secretariat, bureau@univga.org.
- Before each exam, check your connection, camera, and microphone with the link received.
- There is no mock exam.
7. Identity
- Your identity is established by the documents in your registration file.
- A verification at the exam (presentation of an identity document or student card to the camera, compared to your file) is under consideration; it will only be implemented after a written decision from the Academic Affairs Department, announced at least 30 days in advance.
- No copy, photo, or capture of the document is made. No biometric technology is used.
- Having someone replace you, or replacing a student, is fraud (part 12). Never share your account.
8. Procedure for a remote exam
- Log in early to the notification link.
- During the exam: camera on, in the presence of the examiner or teacher. They may ask you for a brief tour of your workspace; this tour is never recorded, and no one will ask you to show people or private documents.
- No software automatically analyzes your behavior. No video recording is kept by default.
- If a written assignment is requested, the examiner specifies how to submit it.
9. Artificial intelligence and plagiarism
Each exam has one of these three statuses, indicated before the exam:
| Status | What you can do |
|---|---|
| AI prohibited (by default for remote exams, monitored assignments, and defenses) | No generative AI tools, automatic translation, or paraphrasing. |
| AI allowed with declaration | Use permitted within the limits set by the teacher. You remain responsible for the content, sources, and errors. |
| AI unrestricted | Use without declaration (for example, for training). |
- Presenting as your own a text produced by AI, or by another person, without declaring it, is fraud.
- Always cite your sources.
- When AI assists in grading, a human grader always verifies the score.
- A similarity report or an AI detector is never enough to prove fraud : it only triggers a human review, which may include a brief oral exchange about your work.
10. Technical incidents
- Report any outage as soon as possible to the secretariat : bureau@univga.org.
- Long or repeated outage : beyond 10 minutes cumulatively, or after three outages, the exam is interrupted and rescheduled, without penalty. The written decision rests with the Academic Affairs Department, after consultation with the examiner.
- Outage on UNIVGA's side : the Academic Affairs Department acknowledges the outage in writing within 2 working days. A new exam is then automatically scheduled for all affected candidates within 15 days following this acknowledgment, subject to the availability of an examiner, on a new topic of the same level. Only the score of this new exam counts.
- Outage during a lesson activity : notify the secretariat ; the administration may authorize a new attempt (part 4).
11. Accommodations
- Written request to the secretariat at least 7 days before the exam date (in practice, at the time you propose your slots on the final exam page), with justification if needed.
- Disability : extended time, breaks, adapted format.
- Weak connection : rescheduling of the session or moving to a partner location.
- Outside Gabon : slot adapted to your time zone, remaining hours expressed in Libreville time.
- The decision is communicated to you in writing and kept in your file.
12. Fraud and sanctions
- Examples : impersonation, account sharing, external assistance, unauthorized documents or tools, undeclared or prohibited AI, plagiarism, dissemination of the subject, circumventing the one-attempt rule.
- Any suspicion is noted and forwarded to the examination disciplinary committee. No sanction is automatic. You are informed in writing of the alleged facts and evidence ; you may present your written or oral observations within 7 days from the notification, accompanied by a person of your choice.
- Possible, proportionate sanctions : warning, score of zero for the exam, cancellation of the module or session, temporary or permanent exclusion. Exclusion is decided by the General Management, after consultation with the disciplinary committee ; its financial effects follow the general terms and conditions of sale.
- Any decision is reasoned and communicated in writing ; it may be subject to appeal (part 14).
- 13. Grades and results
The grades for the online exams and the defense are determined by the examiner or the jury, who
- directly transmits them to the UNIVGA administration. Grades are not published online by the jury. The administration communicates your results to you..
- Les notes ne sont pas publiées en ligne par le jury. L'administration vous communique vos résultats.
- No grade is modified without the decision of the examiner or the jury.
14. Complaints and Appeals
Step 1 — Complaint (material error or grade dispute)
- Contact the administration within 7 days from the date of the email that communicates your grade :
- by email : bureau@univga.org ;
- or on the WhatsApp of the secretariat : +241 77 28 34 18 or +241 66 16 03 80.
- An acknowledgment of receipt will be sent to you within 2 working days. Each complaint is recorded in a dated register (date, time, and channel of receipt).
- A material error (omission, incorrect entry, calculation) is corrected.
- A dispute regarding the assessment is reviewed by a second examiner, different from the first. A reasoned response will be provided within 15 days.
Step 2 — Appeal
- If the response does not satisfy you, or in case of a sanction for fraud : written appeal within 7 days after notification.
- The appeals committee is independent : no member has participated in the exam or the contested decision, nor sits on the disciplinary committee for the same matter. Composition : the General Director or their representative (chair), a teacher who did not participate in the exam, and a member of the administration.
- It reviews the case and may hear you. A reasoned decision will be made within 15 days, as provided by the internal regulations. It may uphold the grade, have it corrected, or order a new exam.
- An appeal can never lower the grade.
Deadlines harmonized with the internal regulations : 7 days to complain or file an appeal, 15 days for the response. Days are calendar days, Libreville time. A deadline that ends on a Sunday or a public holiday is postponed to the next working day.
