The GROUPE UNIVGA places transparency at the heart of its relationship with visitors, candidates, learners, teachers, and partners. This policy describes the data collected, the purposes, the recipients, the retention periods, and the rights you have. It is an integral part of the information provided during any registration or collection.
The main framework is Gabonese law n° 001/2011 on the protection of personal data, as amended by law n° 025/2023, and the oversight of theAuthority for the Protection of Personal Data and Privacy (APDPVP). Acceptance of the GTC or the GCU is not enough to obtain consent where required by law.
This page replaces the previous generic policy from 2021, which was not adapted to Gabonese law or the actual processing carried out by UNIVGA.

When service providers process data on behalf of UNIVGA (hosting, payment, messaging), they act according to our instructions and only to the extent necessary for the service.
2. Data Collected
Depending on the interactions, UNIVGA may collect:
- Identity and contact : civility, last name, first name, email, phone, country, city, postal address if applicable, date of birth if required for a file.
- Training project : targeted program, level of education, professional situation, motivations, registration documents (diplomas, photos, identity documents when required).
- Educational record : registrations, modules taken, educational connections, grades, assignments, projects, correspondence with teachers, disciplinary decisions.
- Payment : amount, method, transaction reference, status. Card numbers are processed by service providers (Stripe, PayPal, Mobile Money operators) and are not stored by UNIVGA.
- Account and technical log : identifiers, login history, pages viewed, IP address, type of device and browser, language, security logs.
- Newsletter and forms : email, message, any attached document, associated consent.
- Applications from teachers or partners : CV, diplomas, experiences, documents provided spontaneously.
UNIVGA does not request health data, political or religious opinions, unless you voluntarily communicate them in a message. In this case, they are only used to process your request.
3. Purposes
The data is used to:
- to create and manage your account, your registration, and your studies ;
- to deliver training, assessments, certificates, and diplomas ;
- collect fees, issue receipts, and prevent fraud;
- respond to your requests (contact, support, complaints);
- ensure the security of the Platform and the continuity of the service;
- establish learning and usage statistics to improve the offerings;
- to send the newsletter or information about similar training, if you have consented or within permitted limits ;
- comply with legal obligations (accounting, academic proof, responses to competent authorities).
4. Bases du traitement
Depending on the case, the processing is based on :
- theexecution of the contract (registration, campus, exams, payment) ;
- one legal obligation (invoicing, retention of certain documents, response to an authority) ;
- thelegitimate interest of UNIVGA (security, service improvement, defense of its rights), balanced with your interests ;
- your consent, when required (non-essential cookies, newsletter, certain transfers).
You can withdraw consent at any time, without affecting the lawfulness of the processing carried out before the withdrawal, and without preventing the execution of a contract already formed.
5. Recipients
The data is accessible to the relevant UNIVGA services (studies, pedagogy, finance, support, management). It may be transmitted, to the strict extent necessary :
- to technical service providers (hosting, payment, messaging, analysis tools) ;
- to partner institutions or organizations, when the course, an exam, or a qualification requires it ;
- to a Funder (employer, organization) if you have requested it or if the agreement provides for it ;
- to competent authorities, if required by law or to assert a right.
UNIVGA does not sell or rent your data to third parties for marketing purposes. In the event of reorganization or transfer of activity, the necessary data may be transferred to the successor, with the same purpose.
6. Transfers outside Gabon
Certain operations may involve servers or providers located outside Gabon, notably in the United Kingdom or the European Union (entity UNIVGA Ltd, payment, hosting, or messaging tools). These transfers only occur if they are necessary for the service and are framed by appropriate safeguards, in accordance with Gabonese law (sufficient level of protection or contractual measures).
If a transfer to a country that does not provide an adequate level of protection proves necessary, UNIVGA ensures, as far as possible, that additional safeguards are put in place, and informs you when required by law.
7. Security
UNIVGA implements reasonable technical and organizational measures : restricted access, exchanges in HTTPS, role segregation, security logs, internal instructions. No system being infallible, UNIVGA cannot guarantee absolute security. In the event of an incident that may affect your rights, UNIVGA strives to inform you and, if applicable, alert the APDPVP within the applicable timeframes.
Security also depends on you : do not share your password, log out on a shared device, and report any suspicious use.
8. Retention periods
Data is retained for as long as necessary for the purposes, then archived or deleted. For your information :
- account and schooling : duration of the relationship, then the time necessary for academic proof and claims (grades, copies, diplomas) ;
- accounting documents and payments : legal retention periods for commercial and tax documents ;
- prospecting and newsletter : until consent is withdrawn, opposition, or after a period of inactivity of three years ;
- technical journals : limited duration, unless for security or proof purposes ;
- measurement cookies : up to thirteen months, unless you choose a shorter period.
Some information may be retained in an anonymized form for statistical purposes.
9. Prospecting
If you consent, or within the limits permitted for individuals already in contact with UNIVGA, we may send you information about our training programs via email, phone, or messaging. Each commercial message includes a simple way for you to opt-out (unsubscribe link or written request).
UNIVGA does not share your contact details with external advertisers for their own prospecting.
10. Your rights
Subject to the conditions provided by law, you may request
- access to data concerning you ;
- correction of inaccurate or incomplete data ;
- deletion when processing is no longer necessary or when you withdraw consent ;
- limitation or opposition, for legitimate reasons ;
- withdrawal of consent, at no cost.
To exercise these rights, write to bureau@univga.org specifying your request and attaching an element to verify your identity. UNIVGA strives to respond within a month, unless there is particular complexity. Some data (diplomas, invoices) may be retained despite a deletion request when required by law.
11. Minors
The training programs are primarily aimed at adults. If you are the legal representative of a minor and believe that an account has been created without your consent, please contact us so that we can verify it and, if necessary, close it.
12. Cookies
The Site uses cookies necessary for operation and, with your consent when required, preference, audience measurement, or prospecting cookies. You can adjust them at any time on. Set cookiesDisabling certain cookies may limit functions (language memory, audience measurement).
13. Modifications
This policy may be updated to reflect a new processing, a provider, or a change in law. The date indicated at the top of the page is authoritative. In case of substantial changes, UNIVGA strives to inform the affected individuals.
